Tenaxiti Pty Ltd (ABN 27 664 513 320) (“Tenaxiti”, “we”, “us”, “our”) is an executive advisory firm that provides organisational performance advisory services and psychological assessment services for selection and development purposes. This policy explains how we handle personal and health information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and applicable health records legislation.

This policy is reviewed periodically and updated to reflect changes in our practices or legal obligations.

1. About This Policy

We are committed to handling personal information — including health information — responsibly and in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and any applicable state or territory health records legislation.

This Privacy Policy explains what personal and health information we collect, why we collect it, how we use and protect it, and how you can access or correct your information or make a complaint. It applies to all individuals whose information we handle, including website visitors, enquirers, event attendees, newsletter subscribers, and individuals who participate in psychological assessments commissioned by their employer or another organisation.

By using our website or providing your information to us, you agree to the practices described in this policy.

2. What Personal Information We Collect

We collect two categories of information: general personal information and health information. Health information is a subset of sensitive information under the Privacy Act and is subject to higher standards of handling and protection.

General personal information

We may collect the following through our website and general business activities:

  • The content of any enquiry or message submitted through our contact form
  • Event registration details
  • Email address and name when you subscribe to our newsletter or blog updates

Health information

In the course of providing psychological assessment services, we collect health information about individuals. This may include:

  • Psychological assessment results, including psychometric test scores, personality profiles, and cognitive or behavioural assessment data
  • Information about psychological characteristics relevant to the assessment purpose, such as leadership capability, work style, or decision-making preferences
  • Background information provided by the individual as part of the assessment process

The health information we collect is limited to psychological assessment data for organisational purposes. We do not provide clinical psychological services and do not collect clinical records such as diagnoses or treatment histories.

3. How We Collect Information

We collect personal information in the following ways:

  • Directly from you when you complete our contact form, register for an event, or subscribe to our newsletter or blog
  • Directly from individuals participating in a psychological assessment, through assessment instruments, interviews, and background questionnaires
  • From the organisation commissioning an assessment, who may provide context about the role or individual relevant to the assessment purpose
  • Automatically through website analytics tools when you visit our site
  • Through referral data when you arrive via LinkedIn or other social platforms

Where it is lawful and practical to do so, we will give you the option to interact with us without identifying yourself. However, if you choose not to provide certain information, we may not be able to respond to your enquiry or deliver the services requested.

We will not collect health information about an individual without first making them aware of the purpose of collection and, where required by law, obtaining their consent.

We collect and use personal information for the following purposes:

  • To register you for and communicate about Tenaxiti events
  • To send you our newsletter, blog updates, and relevant communications, where you have opted in to receive these

  • To deliver psychological assessment services, including administering assessments, interpreting results, and preparing reports
  • To meet our legal, regulatory, and professional obligations as a registered health practitioner and as an organisation

We will not use your personal information for a purpose that is unrelated to the reason it was collected, unless we have your consent or are required or authorised to do so by law.

5. Psychological Assessment Services

Where Tenaxiti is engaged by an organisation to conduct psychological assessments, the following applies to all individuals participating in those assessments, whether they are external candidates being assessed for selection purposes or existing employees being assessed for development purposes. The protections in this section apply equally in both cases.

Consent and transparency

Before any psychological assessment commences, we will inform you of the purpose of the assessment, the types of information collected, how results will be used, and who will have access to them. Where required by law, we will obtain your written consent prior to proceeding.

Disclosure of results

Assessment results are provided to the commissioning organisation for the purposes agreed at the outset of the engagement. Results are not disclosed to any other party without your consent, except where required by law. We take care to present assessment findings in a manner that is fair, contextualised, and appropriate to the purpose.

Your right to access your own results

Individuals who participate in an assessment have the right to request access to their own results, subject to the terms of the engagement and any applicable legal limitations. Requests should be directed to us using the contact details in Section 16.

Retention of assessment records

Psychological assessment records are health records for the purposes of applicable privacy legislation. We retain assessment records in accordance with our legal obligations as a health service provider. Records are securely destroyed once the applicable retention period has elapsed.

6. Marketing Communications

We will only send you marketing communications, including our newsletter, blog updates, and event invitations, if you have opted in to receive them. You may unsubscribe at any time by clicking the unsubscribe link in any email or by contacting us directly. We will process your request promptly.

7. Disclosure of Information to Third Parties

We may share your personal information with trusted third-party service providers who assist us in operating our website and delivering our services. These include:

  • A customer relationship management platform, which we use to manage contact and client relationships
  • A website analytics provider, which helps us understand how our site is used
  • A secure cloud-based document management platform, which we use to store and manage psychological assessment records

8. Overseas Disclosure

Some of our third-party service providers store or process data outside Australia. This includes our customer relationship management platform, website analytics provider, and the cloud-based document management platform we use to store psychological assessment records. Data processed by these providers may be stored or handled on infrastructure located in the United States or other countries.

By using our website or providing your information to us, you acknowledge that your data may be transferred to, stored in, or processed in countries outside Australia. We take reasonable steps to ensure that overseas recipients handle your personal information in a manner consistent with the Australian Privacy Principles.

9. How We Protect Your Information

We take the security of your personal and health information seriously. We employ reasonable technical and organisational measures to protect information from misuse, interference, loss, unauthorised access, modification, or disclosure. These include:

  • SSL/TLS encryption for data transmitted through our website
  • Secure storage of contact and client data within our customer relationship management platform
  • Storage of psychological assessment records in a dedicated secure document management platform, with access controls limiting who can view that information
  • Regular review of our security practices

While we take reasonable precautions, no method of data transmission or storage is completely secure. If you believe your information has been compromised, please contact us immediately.

10. Data Retention

We retain personal information only for as long as necessary to fulfil the purpose for which it was collected, or as required by law. Psychological assessment records are retained in accordance with our legal obligations as a health service provider. When personal information is no longer needed, we take reasonable steps to destroy or de-identify it securely.

  • Take immediate steps to contain the breach and prevent recurrence
